The Support Sales Administrator will be found in larger operational environments where there is enough work for two levels of sales administration. Alternatively a Support Sales Administrator can also be employed in small operational environments, where the level of sales support required by the sales team is not intensive and does not require experienced skills.
Generally speaking Support Sales Administrators can report to Sales Administration Team leaders, Sales Managers and Leaders, more Senior Client Managers or Sales Operations Managers.
The Support Sales Administrator acts as a support person to the sales team. They assist members of the sales force by performing components of sales order related administration.
Sales Administration
These staff members contribute to operational sales effectiveness by establishing relationships with vendors and coordinating every day interactions, queries and general information sharing with them.
Support Sales Administrators are typically assigned to support one or more Client Managers and/or Sales Specialists. Their day to day duties include providing quotes for clients either from direct requests or on behalf of the Sales team. Once the order is raised they will check the quotes to ensure that what has been ordered has been quoted and that the correct terms and conditions have been applied.
They may be required to administer aspects of the purchase order process by generating, distributing and administrating purchase orders. When necessary they will receive goods on behalf of the sales team and deal with the received goods appropriately.
They assist with obtaining information on the most current vendor pricing conjunction with commercial colleagues.
When sales orders are received they process and administer the sales orders. They administer general sales related documentation through receiving, labelling, sorting, filing and distributing as is required.
They capture data and maintain systems as is required by the sales process and sales team. They will also use the systems and data to produce reports when necessary. In general they provide administrative support to the sales force when it is required. Their success is determined by the client service orientation, their team work and management skills and their ability to manage their assigned work processes.
Behavioural Skills
Support Sales Administrators have a proactive approach, pay attention to detail, have good verbal and written communication skills and have a service oriented aptitude. They demonstrate a positive attitude towards work and can manage assigned job processes. They are able to cope well under pressure and are well organised individuals. They have good interpersonal skills and can interact with a variety of internal and external stakeholders across all levels in the organisation.
